The Event Producer is responsible for planning, producing, executing, and consulting on a dynamic scope of system-wide and local and national events aligned to City of Hope’s mission, vision, and culture. Events will vary in scale and scope, and may be in-person, virtual and/or hybrid.  You will be joining a team that takes great pride in designing and producing event experiences tailored for a range of internal audiences, spanning across our national system, applying experience and knowledge to create, coordinate, produce and execute events, which include but are not limited to development of an event plan that defines event goals, audience, desired outcomes, budget, collateral, securing event locations, catering and menus, logistics/general operations, protocol, and on-site management. The Event Producer will consult on and/or produce multiple events from beginning to end, often occurring simultaneously, collaborating with the Senior Producer and the Director of Internal Events to identify new strategies, platforms, and event concept designs to enhance live, virtual and hybrid event experiences for our extended national system. The Event Producer will be versed in virtual and multi-media platforms, creative experiential concepts, and technical event production. The Event Producer will collaborate directly with multiple stakeholders to define and execute the audience experience. The role works closely with the Communications Culture and Experience, and Marketing teams, external vendors, faculty, executives and other entities driving meaningful audience engagement.

 

As a successful candidate, you will:

  • Design, build and execute an exceptional experience inclusive of events with a focus on audience engagement and differentiating City of Hope globally.
  • Accountable for creating and maintaining key event documents including complex budget, experience and event concept proposal presentations, production timeline, run of the show, contact list, event plan, close report, etc.
  • Coordinate all logistic elements of pre-event production, onsite management, venue management and equipment, and post-event breakdown including production of diagrams and complying with fire marshal codes/permitting requirements, arranging permits, security, and insurance requirements.
  • Coordinate and manage cross-functional vendor teams for technical production, interactive design and virtual platform development. Serve as the point person for vendors, including negotiating and securing vendor contracts and catering rentals; managing approvals, tracking and facilitating vendor payments; preparing contracts, ordering supplies and audiovisual equipment, and arranging for appropriate event décor that meets the quality expectations, etc.

Qualifications

Your qualifications should include: 

  • Bachelor’s Degree. 
  • 3-5 years of event planning experience.
